New students admitted in accordance with the national enrollment regulations must come to the university within the stipulated time for reporting procedures with the admission notice of the university, their ID cards and college entrance examination passes and other relevant materials. Those who cannot report to university on time for any reason must write to the university before the deadline for reporting with corresponding certificates to ask for a leave of absence, and the leave of absence should not exceed 2 weeks. Those who fail to apply for a leave of absence or fail to report to the university after the leave of absence are regarded as giving up the qualification of enrollment, except for legitimate reasons such as force majeure.
Upon the arrival of the new students, all schools shall conduct a preliminary review of the admission procedures to ensure students’ eligibility for registration. Additionally, they must review the admission notice, candidate information, and other identification materials of each new student. If discrepancies are found between the materials and the actual situation, or if there are violations of the national enrollment examination provisions, the schools must report the matter to our Admissions Office. The Admissions Office will then cancel the relevant students’ qualification accordingly.
At the beginning of each semester, the students shall report at the time prescribed by the Institute and go through the registration procedures within two weeks. Those who do not meet the registration conditions or do not pay tuition fees are not allowed to register. Those who cannot register as scheduled shall fulfil the leave procedures and suspend the registration. Students who have not asked for leave or do not register for more than two weeks (including two weeks) shall be deemed to give up their university status and quit university.
The procedures of asking for leave and postponing registration for freshers are as follows:
Students who are admitted by GCAST cannot register on time for reasons such as illness should write an application to the Admissions and Employment Office. The application should include name, ID number, application reason, duration of leave and parents' opinions, etc., as well as the students’ and their parents’ ID photocopies. The Admissions and Employment Office shall verify the information and report it to the Academic Affairs Office of the Institute. The Academic Affairs Office shall be responsible for retaining the admission qualification of the students. Students who do not follow the above-mentioned procedures and do not report to the institute on time will be deemed to have voluntarily abandoned enrollment and will not be enrolled by the Academic Affairs Office.
The procedures for requesting leave and postponing registration for returning students are as follows:
If a student cannot return to the Institute on time due to personal reasons, she/he should write an application for leave and provide relevant information (including name, ID number, major, class and student number), explain the reason for leave, the time of leave and parents' opinions, and submit it to the Student Affairs Office. The Student Affairs Office will approve the application based on the student's situation and suspend the registration. If the student does not return to the Institute for an extended period and does not submit a leave application, in the most serious case, the student may be required to withdraw from the Institute. (For more details about leave taking, please refer to document 5.3 Attendance Requirements.) If a student drops out for personal reasons, the student should report to the university, and the university will report the list of students who drop out to the Student Affairs Office. The teacher in charge will contact the student and their parents by phone to understand the situation and verify whether the student has dropped out. With or without the consent of the parents, this information will not be disclosed during this period. After it is confirmed that the student has left the institute, she/he shall go through the examination and approval procedures. After the completion of the procedures, the Student Affairs Office will forward the withdrawal documents to the Institute, the Academic Affairs Office and the Finance Office for the record, and the Academic Affairs Office will cancel the student's status. Students from economically disadvantaged families can apply for student loans or other forms of financial assistance and will be given registration after going through the relevant procedures and approval of the university.
According to the different training programmes of each major, the Institute has formulated relevant courses. For required courses, all GCAST students will be automatically registered. Before the beginning of each semester, the college generates a course plan to help students register for courses. For elective courses, the Academic Affairs Office will issue a course selection notice before the beginning of each semester, and students can register through the academic affairs system platform, and students can withdraw and choose another course before the classes start. Students are required to complete registration for courses for the next semester within three weeks of the end of the semester. According to the National Quality Standard for Higher Education Teaching, each course will be set up with certain credits. Students need to register and pass corresponding exams and obtain a certain number of credits before graduation. To be more specific, students who complete the required elective credits within four years can meet graduation requirements. There is no fixed number of elective courses required for each semester. Students who fail to complete the elective credits will not meet the graduation requirements. Students can delay the registration of elective courses and complete the elective credits within four years at the Institute, but they must not delay the registration of required courses. Students cannot drop out of compulsory courses, but students can withdraw from elective courses and choose again. Students can apply for loans irrespective of the credits they receive. Students applying for a student visa need to achieve the required number of credits according to their stage of study. If a student fails an exam or falls behind in their coursework, they will have the opportunity to utilize their holiday time for supplementary learning. They can then take a make-up exam upon returning to university to pass the exam.
