Chapter 1 Student Attendance Requirements
Article 1 Students should return to school on time as stipulated by the school at the beginning of each semester and report to their respective colleges for registration. Attendance will be taken from the first day of formal classes. Students who are unable to complete registration on time due to special circumstances after paying the fees must go through the leave application procedures. Those who have not paid the fees, registered, and completed the leave application procedures will be dealt with uniformly by the school in accordance with the student status management regulations by the specified time.
Article 2 Students should attend all activities stipulated in the school's educational and teaching plan and organized uniformly by the school on time. The school encourages and supports students and student groups to carry out academic, scientific and technological, artistic, cultural and sports activities that are beneficial to their physical and mental health. Students' extracurricular activities should not affect the normal educational and teaching order and living order of the school. They should not be absent without reason or be late or leave early. Those who cannot attend on time for some reason should ask for leave in advance and obtain approval; otherwise, they will be treated as absent from class. Students' attendance in class is included in the assessment of their regular performance in the course. The instructor shall, in accordance with the regulations, take students' attendance in class as one of the main bases for assessing their regular performance in the course.
Article 3 Students should leave and return to school at the prescribed times before and after holidays.
Article 4 For courses that students are allowed to skip or audit as per regulations, no attendance requirements shall be imposed.
Chapter 2 Student Attendance Management
Article 5 During their study at the school, students must attend the teaching activities stipulated in the teaching plan and all activities uniformly arranged and organized by the school on time, and their attendance shall be recorded. Those who cannot attend due to certain reasons must ask for leave.
1. The attendance of all courses (including theoretical courses, experimental courses, public elective courses, etc.) and teaching links included in the teaching plan shall be directly managed by the course instructors or designated students to assist, and recorded in the regular performance record sheet as part of the course grade, calculated based on the actual number of teaching hours missed.
2. The attendance of students participating in other activities shall be managed by a dedicated person arranged by the college.
Article 6 All course instructors must strictly enforce the roll call system during class. Before each class begins, they should count the number of students present and keep strict attendance records. The attendance officer of each class must truthfully record students' punctuality, absence, early departure, and leave requests. They should then collate and summarize the relevant data and proactively report and verify it with the course instructor after the class. The course instructor should confirm and sign the records and keep them on file. The attendance officer must report the students' attendance situation to the counselor on the same day after summarizing it.
Article 7 Each class's attendance officer shall complete the attendance data by the end of each week and submit it to the class counselor on Monday morning of the following week. The counselor shall promptly educate and guide students who violate the rules based on their attendance records. The counselor shall summarize the attendance situation of the class they are in charge of once a week, register and summarize it, print and confirm it with the department's official seal (in duplicate), and submit both the paper copy and the electronic version to the Student Affairs Office.
Article 8 The college must strictly monitor students' attendance. Teachers in charge of courses should pay attention to the attendance situation. For students who are absent from classes frequently, they should promptly understand and analyze the reasons and proactively contact the counselors. Counselors should proactively check the classroom situation, keep track of students' dynamics, and do a good job in education and guidance.
Article 9 Student attendance management is an important means to promote the construction of academic, teaching and school atmosphere. All units, teachers and students should make joint efforts and cooperate with each other to strengthen student attendance management and maintain a good teaching order.
Chapter 3 Student Leave Application Procedures
Article 10 When students need to take leave for any reason, they should submit a written application to their secondary college and complete the leave application procedures, filling out the student leave approval form. For sick leave, a certificate from a hospital or the college's medical institution is required. For personal leave and public leave, a certificate of the reason is required.
(1) For leave of two days or less, it shall be approved by the counselor.
(2) For leave of more than two days but less than one week, it shall be approved by the person in charge of student affairs in the secondary college and reported to the student affairs office for record.
(3) For leave of one week or more, it shall be verified and approved by the secretary of the Party committee of the secondary college and reported to the student affairs office for approval.
(4) During teaching activities outside the campus, leave shall be approved by the leading teacher or the instructor and reported to the secondary college for record.
(5) When organizing students to participate in internships or competitions inside or outside the campus during normal teaching or student rest time, the leading teacher or instructor shall report to the college for approval. During teaching time, leave application procedures shall be handled in accordance with the attendance management measures and reported to the academic affairs office for record.
(6) After the student's leave period expires and they return to school, they must promptly report to the college and class counselor to cancel the leave. Otherwise, it will be treated as an unexcused absence. Students who are unable to handle leave or extension of leave procedures due to special circumstances should promptly notify the counselor and complete the relevant procedures within one week after returning to school.
Article 11 Students should apply for leave in advance, and the leave will only be valid after approval. Except for force majeure and other legitimate reasons, no leave application will be accepted after the fact. Leave for personal affairs and sick leave should be strictly controlled. Personal leave should not exceed two weeks, and sick leave should not exceed one month.
Article 12 Students who need to take leave for official business must present a certificate from the relevant department to handle the leave application procedures.
(1) In principle, students are not allowed to take leave during class time on the grounds of student activities.
(2) If it is truly necessary to take leave due to urgent student activity work, they must fill out the "Guangzhou College of Applied Sciences and Technology Student Official Leave Approval Form" and submit it to the college one working day in advance. Leave can only be granted after approval by the college and the Student Affairs Office and with their official seals.
(3) Official leave should not exceed 2 class hours in principle. The heads of student organizations should verify the reasons for the official leave application. During the official leave period, the department should take attendance of the participants. Staff members should attend work on time; otherwise, they will be treated as absent from class.
Chapter 4 Calculation of Student Absence Due to Truancy
Article 13 During the teaching period, if a student is absent without reason, it will be calculated based on the actual teaching hours.
Article 14 For concentrated activities (including internships, social practices, military training, self-study, education on current situation and policies, and meetings that must be attended as required), if the class hours are calculated by day, each absence will be counted as 6 class hours; if the class hours are calculated by occurrence, each absence will be counted as 1 class hour.
Article 15 If a student is absent from morning reading or evening self-study for two times, it will be counted as one absence from a regular class and calculated as one class hour of truancy. If the absence accumulates to more than two times, the conversion will be made in accordance with this method.
Article 16 If a student is late or leaves early twice, it will be counted as one absence from a regular class and calculated as one class hour of absence. A student is considered late or leaves early if they arrive or leave within 10 minutes after the bell rings for class to start or end. If it exceeds 10 minutes, it will be counted as an absence.
Article 17 In the period before and after legal holidays, if a student is absent from classes due to leaving school early or returning late without reason, it will be calculated as 6 class hours per normal teaching day of the college.
Chapter 5 Handling of Absence from Classes
Article 18 Students' disciplinary violations shall be handled in accordance with the relevant documents of the school.
Article 19 Student Attendance Check in Class: For regular class checks, if any student is found absent, it will be treated as truancy and announced throughout the college on the same day. No make-up leave slips will be accepted afterwards. Before and after holidays, no leave will be granted except for special circumstances.
Article 20 Students who are absent from classes without permission shall be dealt with in accordance with the "Trial Measures for Disciplinary Actions of Guangzhou College of Applied Sciences and Technology".
Article 21 Students who fail to complete the leave application procedures, do not return to school on time for registration, or do not participate in the teaching activities and various activities uniformly organized and arranged by the school as scheduled, or leave school early or return late without reason during legal holidays shall be treated as absent from classes. Any other accidents resulting from this shall be borne by the students themselves. If a student's college fails to complete the filing procedures in time due to internships or off-campus competitions, etc., it shall be regarded as leaving without permission. Any accidents resulting from this shall be the responsibility of the instructor and the college.
Article 22 At the beginning of each semester, students who fail to register without leave or whose leave application is not approved and who are overdue for two weeks, or who have been granted leave but fail to register within two weeks after the approved leave period, shall be treated as having withdrawn from school automatically.
Article 23 Students who leave school without asking for leave and without a valid reason and fail to participate in the prescribed teaching activities for four consecutive weeks shall be subject to withdrawal from school.
Article 24 Students who are absent from class without valid reason for a total of one quarter of the total teaching hours of a course, or who are absent (including being absent without reason or asking for leave) for a total of one third of the total teaching hours of a course, shall not be allowed to take the regular examination. If they take the examination, their grades for that course will be recorded as a fail.
Chapter 6 Supplementary Provisions
Article 25 This regulation shall come into effect as of the date of issuance.
Article 26 The Student Affairs Office is responsible for the interpretation of this regulation.
