Student Leave Management Regulations

Chapter 1 General Provisions

Article 1 In order to maintain the normal teaching and educational order of the school, standardize the management of student leave requests, and safeguard the legitimate rights and interests of students, this regulation is formulated in accordance with the "Regulations on the Management of Students in Regular Institutions of Higher Learning" and relevant policies, in light of the actual situation of the school.

Article 2 This regulation applies to the daily leave management of all students currently enrolled at the school.

Article 3 The management of students' leave application and cancellation shall follow the principles of "maintaining teaching order, safeguarding students' rights and interests, strict procedures and being realistic".

Article 4 The Student Affairs Office is responsible for the guidance, coordination and supervision of the leave application and cancellation management for all students in the school; each secondary college is responsible for the specific implementation of the leave application and cancellation for the students at its own college.

Chapter 2 Types of Leave Requests

Article 5 Students' leaves of absence are classified into the following three categories:

Personal leave: When a student or their immediate family member experiences a significant event, making it impossible for the student to participate in teaching activities or collective activities as stipulated by the school.

Sick leave: When a student is unable to participate in teaching activities or group activities due to their own health reasons.

Public leave: Leave taken to participate in competitions, conferences, training sessions and off-campus activities organized by the school, or to perform official duties assigned by relevant school departments.

Chapter 3 Leave Application and Approval Procedures

Article 6 Students should attend the activities stipulated in the training plan and the collective activities organized by the school on time during the semester. Those who are unable to attend due to special circumstances should submit a written leave application in advance. In case of emergency where a written application cannot be made in advance, they may first report through the online system and submit the written materials afterwards. The leave will be valid upon approval.

Article 7 To apply for sick leave, one must provide a diagnosis certificate and sick leave recommendation issued by the school hospital or a hospital of Grade-A tertiary level or above.

Article 8 Relevant supporting documents must be submitted when applying for personal leave or official leave. Personal leave should not exceed 7 days in a single instance in principle. The cumulative duration of official leave should be consistent with the activity arrangement.

Article 9 Public Leave Application Process:

Within 3 days: Submit the application online through the "Yunzhijia Online Management System." It will take effect after being approved by the counselor and the dean of the secondary college, and a copy will be sent to the Student Affairs Office and the Academic Affairs Office for record.

For activities lasting three days or more, or those with over 30 participants at a single event: After the opinions of the secondary college and the Student Affairs Office are signed, they should be submitted to the vice president in charge for approval and simultaneously filed for record.

Public holidays follow the principle of "no leave unless necessary." The organizing units of activities should arrange the time reasonably to avoid affecting students' studies.

Article 10 Leave Approval Authority:

Within 2 days: Approval by the counselor.

Within 2 to 7 days: After review by the counselor, it is submitted to the dean of the secondary college for approval.

More than 7 days: After review by the secondary college, it shall be reported to the Student Affairs Office for approval and record.

Article 11 During winter and summer vacations, legal holidays and the days before and after compensatory leave, students are not allowed to leave school early or return late without permission. If an adjustment is necessary, an application for an extension of leave should be made in accordance with the prescribed procedures.

Article 12 The total duration of a student's leave of absence in a single semester shall not exceed one third of the total class hours of that semester. Those who exceed this limit must go through the procedures for suspension of studies.

Article 13 After the leave period expires, students must return to school on time and complete the leave cancellation procedures. If an extension of leave is necessary due to special circumstances, an application should be made in advance. Those who fail to apply for an extension or whose extension application is not approved will be treated as absent without leave. The approval authority for leave extensions shall be in accordance with Articles 9 and 10.

Chapter Four: Leave Resumption System

Article 14 After the leave of absence is over, students must promptly go through the leave cancellation procedures with their counselors. For leaves exceeding 30 days, students must fill out the "Leave Cancellation Approval Form for Students of Guangzhou University of Applied Science and Technology" within 3 days after returning to school. The form must be approved by the secondary college and the Academic Affairs Office before they can resume classes.

Chapter Five Leave Management

Article 15 The leave application materials shall be archived by each secondary college. The counselors should promptly inform the course instructors of the students' leave application and leave cancellation situations.

Article 16 Students who leave school without going through the leave application procedures or leave school without approval after applying for leave shall be subject to corresponding disciplinary actions in accordance with the "Student Management Measures of Guangzhou College of Applied Science and Technology".
